ROLE AND RESPONSIBILITIES OF OFFICE HOLDERS OF EXECUTIVE COUNCIL
PATRON IN CHIEF
The Patron-in-Chief will provide guidance and support to the Association through:
- Provide guidance in Strategic Planning
- Overall Leadership
- Guidance and Mentorship
- Event Participation
PRESIDENT
The President will serve as the primary leader and representative of the Association and will perform his duties through:
- Arranging consensus from stakeholders for, and develop strategic planning
- Membership engagement
- External relations for the benefit of UoS Alumni Association
- Bridging relationship with external and internal stakeholders.
- Ensure alumni contribution in the academic advancement and job placement for students.
- Create regular fundraising streams and oversee financial matters
- Establish ‘Alumni Endowment Fund’ using financially stable Alumni and external sources
- Event planning and execution
- Communication and outreach
- Crisis management
- Succession planning
- Confidentiality and integrity
VICE PRESIDENT
The Vice President will work closely with the President to perform all his duties through:
- Support and assistance to the President
- Administrative support and engagement with internal and external bodies under guidance of the President
- Presidential Stand-In.
GENERAL SECRETARY
The General Secretary will hold main administrative role in the Alumni Association and performs his duties through:
- Administrative leadership
- Prepare agendas and coordinate meeting
- Record meetings minutes, documentation and record keeping
- Membership registration and records
- Official correspondence
- Support to the President
JOINT SECRETARY
The Joint Secretary will perform his duties through:
- Support to the General Secretary to perform his duties
- General secretary Stand-In
FINANCE SECRETARY:
The Finance secretary will perform his duties through:
- Financial management
- Budgeting for UoS Alumni
- Record keeping of accounts and financial transactions
- Annual and special audit coordination
- Conduct audit of accounts to ensure transparency
- Record of fundraising and grants
- Tax Compliance
INFORMATION SECRETARY
The Information Secretary will perform his duties though:
- Website and Online Presence
- Email Correspondence
- Event Promotion
- Membership Communication
- Information Archives
- Collaboration with Committees
EXECUTIVE MEMBERS
The Executive Members will perform their duties through:
- Active participation in different events
- Committee Involvement
- Support To the leadership to perform their functions
- Idea Generation
